A commercial real estate management firm is seeking an experienced Senior Facilities Manager to oversee the day-to-day operations of a prominent commercial office facility in downtown Indianapolis. This position is responsible for ensuring the facility is operated efficiently, safely, and to a high standard while providing exceptional service to the building’s occupants.
The Senior Facilities Manager will work closely with the client, building staff, contractors, architects, engineers, and service providers and will have responsibility for building operations, budgeting, capital projects, vendor management, safety and security, and staff supervision.
Key Responsibilities
- Oversee the daily operation and management of the facility, including building systems, maintenance, security, life safety, and general facility operations.
- Serve as a primary point of contact for the client and maintain a high level of responsiveness and customer service.
- Lead and supervise building staff and contractors, including establishing priorities, monitoring performance, and coordinating daily activities.
- Prepare and manage annual operating and capital budgets and assist with financial reporting and year-end reconciliations.
- Solicit bids, prepare RFPs, negotiate and administer service contracts, and monitor vendor performance.
- Coordinate preventative maintenance programs and identify opportunities to improve building efficiency, reliability, and operating costs.
- Manage capital improvements, space planning, construction projects, and other special projects in coordination with architects, engineers, contractors, and the client.
- Oversee building safety and security programs, including inspections, emergency procedures, evacuation drills, and regulatory compliance.
- Develop and maintain operating procedures and appropriate documentation for building operations.
- Coordinate incident reporting and assist with property-related insurance claims when necessary.
Qualifications
- 10+ years of experience in commercial facilities management, commercial property management, building operations, or a closely related field.
- Bachelor's degree or equivalent combination of education and relevant experience.
- Demonstrated experience managing a large or complex commercial facility.
- Strong knowledge of building systems, preventative maintenance, life safety, security, and facility operations.
- Proven leadership and staff-management experience.
- Experience developing and managing operating and capital budgets.
- Experience managing vendors, service contracts, construction projects, and capital improvements.
- Excellent written, verbal, and interpersonal communication skills.
- Strong organizational, analytical, budgeting, and project-management abilities.
- Ability to effectively manage multiple vendors, contractors, projects, and priorities.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- CPM, RPA, FMA, CFM, or similar professional designation is preferred.

This individual should be comfortable managing both the day-to-day details of a complex commercial facility and larger capital, construction, and strategic facility projects.
